A radar level installation RFQ should remove uncertainty before the purchase order, not transfer it to the shutdown window. The document must connect the actual vessel, process and control duty to an exact antenna, process connection, seal, housing, output and approval. It should also define installation responsibilities, supplied accessories, drawings, configuration support and measurable acceptance. A quotation that lists only frequency, range and price cannot show whether the device fits the nozzle, survives the service or integrates with existing alarms and systems.
Issue complete application data
Provide vessel height, diameter, roof and bottom, nozzle bore and length, internal structures, fill and discharge points, normal and alarm levels, and one reference datum. Add medium, dielectric behaviour, temperature, pressure, vapour, foam, dust, buildup, cleaning and hazardous classification. Mark uncertain values for clarification instead of replacing them with generic assumptions.
Define the intended duty
State whether the radar supports indication, control, inventory, transfer, high alarm or environmental reporting. Define required range, accuracy, response time, availability and failure behaviour from that duty. Separate the process measurement from any independent overfill function and state which alarms or final actions must be proven during acceptance.
Specify the mechanical interface
Require the exact antenna, process connection, gasket, mounting adapter, pressure rating and materials. State permitted nozzle geometry, antenna projection, alignment and beam-clearance requirements. Identify who supplies mating flanges, brackets, fasteners, isolation devices and structural work, and require an outline drawing for approval before manufacture or site modification.
Control electrical and communication scope
Define supply voltage, loop resistance, cable entries, barriers, surge protection, grounding and signal type. For HART, Modbus or fieldbus, require address, register or object map, data types, status mapping and tools. State who configures PLC tags, scaling, quality, alarms, historian and cybersecurity controls so interfaces do not remain commercial gaps.
Require useful documentation
List the exact datasheet, model code, material declaration, pressure and hazardous certificates, wiring drawing, configuration manual, software, licenses, calibration evidence and spare recommendation. Require suppliers to identify deviations and governing document revisions. General brochures and family certificates should not substitute for evidence applicable to the offered configuration.
Attach acceptance and handover criteria
Define receipt inspection, dimensional verification, installation photographs, reference-plane checks, echo curves, known-level comparisons, output scaling, alarm and fault tests. State how deviations are classified and approved. Final handover should include serial number, firmware, as-left settings, drawings, test results and operator instructions in a retrievable asset record.
Control post-award changes
After the order, route every change in product, nozzle, range, alarm, output or certification through the same application record used for selection. Compare the revised condition with the offered model and obtain written acceptance before fabrication or shipment when equipment may change. Update drawings, data sheets, inspection points and commercial scope together. A verbal site adjustment can otherwise leave the delivered radar technically different from both the quotation and the installation team's documents. At handover, reconcile the final serial number and configuration with the approved revision and record any accepted limitation, owner and review date.
RFQ acceptance record
Close the RFQ with a matrix linking each stated duty to a selected option, submitted document and acceptance test. List exclusions such as stilling wells, isolation valves, cable, surge protection, configuration or site commissioning so commercial comparison does not hide scope gaps. Require bidders to identify every assumed process value and proposed deviation. The resulting record should let purchasing compare like with like and let the commissioning team test the delivered instrument against the basis on which it was awarded.
