Define what the quotation must include

A sensor, an installed measurement assembly and a remote monitoring system are different purchases. Listing only the main sensor can leave out mounting hardware, signal conditioning, power supplies or integration work. State which parts the customer will provide and which parts are required in the quotation.

• For a radar level instrument, include the process connection, antenna arrangement, power supply, output and any mounting accessories required by the installation.
• For a tank or hopper weighing assembly, identify the support arrangement, load cells or modules, junction box, indicator or transmitter, and the calibration responsibility.
• For remote data collection, list the field devices, signal types, communication settings, receiving PLC or platform, and the party responsible for network and software configuration.

Give engineering enough information to select a model

A useful enquiry describes the measured material and the required result: distance, level, mass, flow, an alarm state or a data value. Add the normal and limiting operating conditions, installation space, available power and required signal. For weighing equipment, provide the dead load, maximum operating load and support layout. For communication equipment, attach the existing device manual or register map if available.

Photographs should show the complete installation as well as the nameplate. A close-up of a sensor cannot show a radar beam obstruction, a constrained vessel support or an inaccessible cable entry. Dimensioned drawings are needed where fit and clearance determine whether an instrument can be installed.

Documents to settle before ordering

Record the complete model and options, drawing revision, power supply, signal output and included accessories in the technical agreement. If a certificate, calibration record or specific inspection report is required, identify the document and its required coverage before accepting the quotation. Availability must be confirmed for the actual model and configuration.

For a requested modification, describe the required difference from the published product. A new connector, cable, process connection or communication setting can affect installation and testing. Do not treat a request as an accepted customization until its feasibility, scope, price and documentation have been confirmed in writing.

Specify who will install, configure and commission the equipment, and which acceptance records will be retained. Product delivery and successful operation in an existing plant are separate milestones when mechanical work, PLC programming or network access remains with other contractors.
